The SSR Job Manual

Below is the list of most major activities which the SSR needs to organize, along with the itemized descriptions of what specific tasks need to be accomplished for the purpose of organizing that activity.

The Fall Barbeque (Dept. pays for this):
Reserving space on campus
Notifying the department
Purchasing food & drink (Dept. pays for all)
Creating nametags for everyone
Getting a grill (Perhaps from Prof. Abbott, also available for rent on campus)
Set-up, take-down, clean-up

Cocktail Hours (Dept. pays for this):
Reserving the Social Sciences Tea Room
Sending out a notice/invitations
Ordering glasses and linens
Purchasing alcohol and food
Set-up, clean-up

Buddy Lists:
Finding out first year students' interests (Linnea will provide names and interests)
Identifying compatible upperclass persons (ordinarily 2nd years)
Finding out who would like to be paired with whom, and who does not want a "buddy"
This can be done a few weeks into the term, certainly after the barbecue

Spring Institute (SSR's financial responsibility, Dept. will handle minimal overflow):

Follies
Getting a location (currently set for Ida Noyes Theater on May 5th for the year 2000)
Soliciting manuscripts
Organizing props
Planning rehearsal(s)
Purchasing food and drink (lots of alcohol)

Paper Sessions
Reserving space on campus
Deciding how to organize (Perhaps Prof. Abbot, among others, could be an aide on this)
Soliciting papers
Organizing the schedule for the day
Reserving a lunch buffet of some kind

Speaker
Start planning for next year's Spring-I speaker
Solicit suggestions from students
Hold open meetings to discuss possible speakers
Contact possible speakers and see if they are interested and/or available
Arranging for transportation, accommodations, honorarium

Banquet
Selecting caterer
Reserving space (currently planned for Ida Noyes Theatre, May 6th of the year 2000)
Deciding on menu
Arranging for payment

Attending SSGSAC meetings:
Meetings are held three times per quarter, usually on weeks 2, 5, and 8
Requests for Spring-I (and possibly other) event funding must be approved here
Free pizza usually provided

Providing food and drink to the first years on the day they take the Prelim Exam (Dept pays):
Purchase and deliver doughnuts, muffins, croissants, coffee, juice, etc.

Working as liaison between students and faculty during faculty searches:
Distributing and collecting student surveys after job talks
Compiling the results of these surveys and presenting them to the chair

Organizing informal brownbag lunches with faculty (SSR pays through SSGSAC):
Ordering pizza (or other food)
Reserving space
Notifying students about the event
Creating posters to advertise the event

Web page maintenance:
Updating info on faculty office hours
Updating info on all other relevant info (Pay particular attention to changes in prelim reading list, and details on the Spring I)
There are some technicalities that may be hard to figure out if you are novice to this task. I will be happy to assist whoever is willing to take over this task - K.N.
